As a\u00a0positive leadership\u00a0consultant, I often hear the frustrations of \u00a0managers on how much time is wasted in meetings and conferences calls.<\/p>\n<h3><strong>What if every meeting was designed to be \u00a0just 18 minutes?\u00a0<\/strong><\/h3>\n<p>Why must we spend exactly\u00a0one hour in a meeting? What if we can finish discussing everything after 43 minutes?\u00a0What if we can say it all in 18? And what if we all stand up while talking?<\/p>\n<blockquote><p>\u201cAs more and more stuff you need to remember piles on, it creates greater and greater pressure and pretty soon you\u2019re going to drop it all.\u201d \u00a0~\u00a0<a href=\"http:\/\/schieffercollege.tcu.edu\/comm_news\/short-and-sweet-speeches-lessen-audience-anxiety\/\" target=\"_blank\" rel=\"nofollow noopener\">Dr. Paul King<\/a><\/p><\/blockquote>\n<ul>\n<li>From research in Neuroscience and what we know about how the brain processes information we know that 15 minutes is the effective time for a meeting . In research\u00a0conducted by\u00a0<a href=\"http:\/\/schieffercollege.tcu.edu\/comm_news\/short-and-sweet-speeches-lessen-audience-anxiety\/\" target=\"_blank\" rel=\"nofollow noopener\">Dr. Paul King at Texas Christian University<\/a>\u00a0he found that\u00a0accumulation of information results in \u201ccognitive backlog\u201d<\/li>\n<li><strong>TED talks<\/strong>\u00a0are restricted to 18 minutes. Speakers present\u00a0concepts that took them a life time to develop under 18 minutes\u00a0because it\u00a0is long enough to present a\u00a0serious and interesting concept and short enough to hold people\u2019s peak attention.<\/li>\n<li>Martin Luther King Jr. \u201cI have a dream\u201d full speech from\u00a01963 in Washington\u00a0took\u00a0less than 17 minutes. It changed the world. Some great ideas can be articulated well in a short time<a href=\"https:\/\/www.youtube.com\/watch?v=jw1R_JBuHEQ\" target=\"_blank\" rel=\"noopener\"><img loading=\"lazy\" decoding=\"async\" class=\"center\" src=\"https:\/\/media.licdn.com\/mpr\/mpr\/shrinknp_800_800\/AAEAAQAAAAAAAAMaAAAAJDdiMjYxNDRkLWUzNjEtNDY1OC05YzViLWYwNzMzZjFiMzVjZA.png\" alt=\"\" width=\"605\" height=\"368\" \/><\/a><\/li>\n<li>It is told that\u00a0<strong>Steve Jobs<\/strong>\u00a0rule of was to walk out of a\u00a0meeting if it lasts more than 30 minutes.\u00a0\u00a0Knowing the importance of focus audience on short sessions, at exactly 15 minutes into his presentation of\u00a0the launch of the iPhone in 2007,\u00a0\u00a0Jobs started\u00a0a demo of the new device.<\/li>\n<li><strong>We adjust to given time.<\/strong>\u00a0If we know that we only have 18 minutes, we have to stay focused and concentrate , we can\u2019t multitask with our mobile devices because we lose if we snooze. On the otter hand, work will expand to the time we\u00a0schedule for it.<\/li>\n<li><strong>Reasonable expansion:\u00a0<\/strong>If more time is needed, it spills over. But even 100% spillover is only 18 minutes. Follow up meetings are not discouraged. On the contrary. The nature of these meetings requires smaller teams who are directly involved thus not taking resources from the big forum and focus on actions.<\/li>\n<li><strong>Planning and Meaning:<\/strong>\u00a018 minutes forces to plan\u00a0the meeting well with a purpose asking the Why behind every topic presented. Preparation is paramount. Short meetings are effective if people are\u00a0assigned to each task and at the end they set the\u00a0next step stages and milestones for delivery.<\/li>\n<li><strong>Recording:<\/strong>\u00a0Not every participant needs to be updated with all the information. With technology a recording can be made and people can be aware of the section that relates to them with a need to stay long hours tuned to conference call that eats into\u00a0their family time<\/li>\n<\/ul>\n<h3><strong>The Daily \u201cStand-Up Meeting\u201d<\/strong><\/h3>\n<p>My great friend Noam Ziv went in 1987 to work in a small startup in San Diego. He told me then about a \u201cstrange habit\u201d. Everyday the manager will gather for a 5 to 10 minutes stand-up meeting. Managers stand with the coffee and secretaries write down. Once they finish the meeting, the leaders would go to their respective direct reports and conduct a similar stand-up meeting. That was before the days of the internet. BTW, this small company is one of the most successful technology companies in the world:\u00a0<a href=\"https:\/\/www.qualcomm.com\/\" target=\"_blank\" rel=\"nofollow noopener\">Qualcomm<\/a>.<\/p>\n<h3>Benefits:<\/h3>\n<ul>\n<li><strong>Improve creativity and teamwork<\/strong><\/li>\n<li><strong>Effective\u00a0communication<\/strong><\/li>\n<li><strong>Positive attitude<\/strong><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><a href=\"https:\/\/youtu.be\/F6Qo8IDsVNg\" target=\"_blank\" rel=\"nofollow noopener\"><img loading=\"lazy\" decoding=\"async\" class=\"left alignleft\" src=\"https:\/\/media.licdn.com\/mpr\/mpr\/shrinknp_400_400\/AAEAAQAAAAAAAAUDAAAAJGVmNjc2OTM0LTZmOTktNGJjNi1hOGI3LTAxYWVmY2I1NGUzYw.png\" alt=\"\" width=\"444\" height=\"268\" \/><\/a><\/p>\n<p>And!!! don\u2019t forget to state the agenda in advance to respect the time of other participants. \u00a0Here is\u00a0hilarious six-minute TED Talk \u201cHow to save the world (or at least yourself) from bad meetings,\u201d by David Grady.<\/p>\n<p>If you want to know more about how to design the 18 minutes most effectively, there are many resources available on the net. One of the known methodologies is called Scrum-style daily stand-ups.
